These terms apply to every rental arranged through melakacarrental.com. Melaka Car Rental is a trading brand of Link Fox Marketing (No. Pendaftaran 002756538-H), operating under the licence of Green Matrix Travel Solution Sdn. Bhd. (GGM), MOTAC 12506, MOF K98281871904291778.
By confirming a booking, the person named on the booking (the Authorised Person) accepts these terms. A full written Vehicle Usage Agreement is signed at the point of handover.
1. Booking and delivery
- All bookings are subject to vehicle availability and are confirmed only once we reply to you directly.
- Handover is free at Melaka Sentral terminal and our office opposite it, at our Bukit Katil and Tampin points, and at KTM ETS Pulau Sebang, Pulau Sebang Sentral, Alor Gajah Sentral and Mydin Pulau Sebang when the car is available at Tampin.
- Delivery to other addresses, including hotels and homes in Melaka city, Bandar Hilir, Ayer Keroh, MITC and Jasin, is charged depending on distance and where the available car is, quoted before you pay.
- Collection at our counter is possible with prior arrangement. Vehicles are not parked at the premises, so the unit is brought over at the agreed time.
- Counter hours are 8:00am to 10:00pm daily. Handover after 10:00pm is available for bookings confirmed in advance, by prior arrangement.
- Same-day and walk-up bookings are not accepted for late-night handover. Identity and licence verification must be completed before a vehicle is released.
2. Driver and licence
- Drivers must be between 23 and 65 years old.
- Probationary (P) licence holders are not accepted.
- Foreign nationals holding a valid licence in English, or an International Driving Permit, may drive for up to 3 months.
- Additional drivers are RM10 per person per day and must be registered at handover.
- Handing the vehicle to a driver who is not registered with us carries a penalty starting at RM500.
3. The Authorised Person
- Only the person who made the booking and submitted valid identification and licence may collect the vehicle.
- Original documents must be presented at handover: NRIC, valid driving licence, and a utility bill as proof of address. International renters: passport, visa where required and International Driving Permit. Singapore licence holders may drive on their Singapore licence for up to 90 days from the date of entry into Malaysia, without an International Driving Permit.
- The vehicle must be inspected together with our representative before you take possession.
- Damage not recorded at handover is treated as having occurred during your rental period.
4. Mileage and rental period
- Minimum rental is one day, counted as 24 hours.
- Mileage allowance is 300 km per day. Excess distance is charged at the daily rate divided by 300 for each additional kilometre.
- An extension of more than 12 hours beyond the return time is charged as a full additional day.
- Weekly rates cover 7 full days and monthly rates cover 30 days.
5. Insurance, damage and excess
- All vehicles carry a standard comprehensive motor policy.
- In the event of a claim, the Authorised Person is liable for the policy excess.
- The policy does not cover damage arising from negligence, tyres, underbody, windscreen, incorrect fuel, or driving on unsealed roads.
- A police report must be lodged within 24 hours of any accident, theft or damage, and we must be informed immediately.
6. Security deposit and fuel
- Security deposit is RM100 for economy vehicles, RM300 for MPVs and SUVs, and RM1,000 for luxury vehicles.
- The deposit is refunded in full once the vehicle is returned in its original condition with no outstanding summons.
- Refunds are processed within 10 to 14 working days.
- For monthly rentals the deposit is a minimum of one month's rental in addition to the first month's payment.
- Fuel must be returned at the same level as at handover. Otherwise a refuelling charge of up to RM300 applies.
7. Condition, penalties and summons
- Smoking, transporting pets, or returning the vehicle requiring special cleaning carries a penalty of up to RM500.
- Traffic and parking summonses issued during the rental period are the responsibility of the Authorised Person.
- A further RM300 penalty applies if a summons is not settled within the period we specify.
- Outstanding amounts may be referred to the relevant authorities and to CTOS for recovery.
8. Return, extension and cancellation
- Notify us at least 6 hours before the agreed return time if you intend to extend. Failure to do so may result in double charges for the additional period.
- Cancellation more than 48 hours before the start of the rental: the booking deposit is refunded in full.
- Cancellation within 48 hours of the start of the rental: the booking deposit is forfeited.
- Cancellations made earlier than 48 hours may instead be rescheduled at no cost, subject to availability.
9. Chauffeur service
- Chauffeur hours are 10 hours per day, normally 8:00am to 6:00pm.
- Overtime is charged at RM50 per hour per vehicle.
- Rates include the driver, fuel, and tolls on the routes stated in the quotation.
- An overnight surcharge of RM100 per night applies where the driver stays away from base.
- Tour guide services are not included.
10. Use of the vehicle
- Observe posted speed limits at all times. Our internal limits are 110 km/h on highways and 90 km/h on other roads.
- The vehicle may not be used for any illegal purpose, for racing, for towing, for driving instruction, or for hire to a third party.
- Taking the vehicle out of Malaysia, including into Singapore, requires a special permit and our prior written approval. Not all units are eligible.
- Misuse or reckless driving results in immediate termination of the rental. The Authorised Person remains liable for all damage, fines, towing and loss of business, and deposits or advance payments may be forfeited.
11. Personal data
By confirming a booking you consent to Melaka Car Rental processing your personal data as described in our Privacy Policy, including sharing it with insurers, enforcement authorities and CTOS where required for claims or debt recovery.
12. Governing law
These terms are governed by the laws of Malaysia. Any dispute is subject to the jurisdiction of the Malaysian courts.
